Front office management

The desk where the revenue cycle actually begins.

The short version

Seamless Front Office
Support & Administration

Every denial has a birthplace, and a surprising number are born at the front desk. A mistyped date of birth, a payer ID that changed, an authorisation nobody checked for — none of it looks like a problem on the day, and all of it surfaces weeks later as a rejection somebody else has to work.

Front office management treats registration and verification as the first stage of the revenue cycle rather than as reception duties, because that is what they are.

What it covers

What this discipline
actually involves.

  • Registration and demographics captured correctly the first time.
  • Coverage verified before the encounter, not after the denial.
  • Authorisation requirements identified while they can still be obtained.
  • Patient responsibility established early enough to be collected at the desk.
  • Front-end errors reported as a front-end metric, not absorbed downstream.
How it is run

The method.

01

Register

Demographics, payer and subscriber details captured and checked at the point of entry, where correcting them costs a moment rather than a resubmission.

02

Verify

Coverage, plan status and the specific service confirmed against the payer before the encounter — not against what is already on file.

03

Authorise

Prior-authorisation requirements identified while the authorisation can still be obtained, which is the only point at which it is worth anything.

04

Collect

Patient responsibility established early enough to be communicated and asked for at the desk, where it is far more likely to be paid.

What you receive

  • Registration data checked at entry, not at claim time.
  • Coverage confirmed per visit, against the payer.
  • Authorisation requirements flagged before care.
  • Front-end error rate reported as its own metric.
Where it goes wrong

The failure modes.

01

Bad data entered at the desk

A mistyped payer ID or date of birth produces a rejection weeks later, far from where it was created.

02

Verification skipped when the day gets busy

It costs nothing on the day, which is exactly why it is the first thing dropped — and the most expensive.

03

Balances never asked for

Collecting at the desk is several times more likely to succeed than collecting by statement afterwards.

What clients say

What clients say.

Eligibility verification was an area where we knew we had room for improvement. Exact Core helped us establish a more consistent process for identifying coverage issues before they became billing problems.

Thomas Wilson
Office Manager

As our practice grew, managing the revenue cycle became increasingly complex. Exact Core gave us the additional structure and expertise we needed without requiring us to completely change the systems we already had in place.

Rachel Thompson
Practice Manager

Exact Core brought much more visibility to our revenue cycle. Instead of looking at billing, denials, and AR as separate problems, their team helped us understand how they were connected and where we were actually losing revenue.

Questions

About front office management.

How is this different from eligibility verification?

Eligibility verification is one step inside it. Front office management covers the whole desk — registration, verification, authorisation and point-of-service collection — because an error in any one of them produces the same downstream denial.

Do you replace our front-desk staff?

Usually not. The common arrangement is that Exact Core runs or supports specific parts of the workflow — verification, authorisation chasing, balance discussions — while your team keeps the patient-facing desk.

Why does this sit under revenue cycle rather than operations?

Because it is where the cycle starts. A claim built on bad registration data cannot be fixed by better billing later; it can only be reworked.

How is it measured?

By front-end defect rate: the share of claims that fail for reasons created before the encounter. That number is reported separately rather than absorbed into the general denial figure.

The other five disciplines

Revenue assessment

How is front office management
performing for you?

A revenue assessment reviews all eight disciplines end to end and shows you where the reimbursement is going.
