Because many of our services involve consultation, customized implementation, operational work, dedicated resources, and ongoing support, refund eligibility depends on the type of service provided and the stage of the engagement.
Customized Professional Services
Our services are tailored to the unique needs of each healthcare organization. Once work has commenced, resources have been assigned, or implementation activities have begun, the services delivered are generally non-refundable. This includes, but is not limited to, medical billing, revenue cycle management, medical coding, denial management, accounts receivable recovery, provider credentialing, eligibility verification, consulting, workflow assessments, and other professional healthcare support services.
Project Cancellation
If a project has not yet started and a cancellation request is received before any work has been initiated, refund requests may be reviewed on a case-by-case basis. Any approved refund will be subject to the terms outlined in the applicable service agreement.
Monthly Service Cancellation
For recurring monthly services, clients may cancel their engagement in accordance with the notice period specified in their service agreement. Any services performed before the effective cancellation date, including work completed during the current billing cycle, remain billable and are not eligible for a refund.
Billing Errors & Duplicate Payments
In the event of duplicate payments, billing errors, or incorrect charges, please notify our team promptly. We will investigate the matter and, where appropriate, issue a correction or refund after verification.
No Guarantee of Financial Outcomes
While Exact Core Group is dedicated to improving billing accuracy, streamlining revenue cycle operations, reducing denials, and supporting financial performance, we do not guarantee specific reimbursement amounts, claim approvals, collection percentages, payer decisions, or financial outcomes. These results depend on numerous factors beyond our control, including payer policies, patient eligibility, provider documentation, coding accuracy, contractual agreements, and applicable healthcare regulations.
